Special Instructions for the VIP Guests

When you first log in, you will create an account. This is not tied to your WIT membership. Please create your account using your email of choice and password.
There are 12 virtual networking rooms available. You are not preassigned a networking room so please choose which ever room you would like to join.
The WIT platform enables you to visit as many of these virtual networking rooms as you would like

Tip:

To exit one networking room and enter another, keep your browser with the WIT Platform open (picture above)
Once on the platform, select a new room. Zoom will immediately ask you if you want to disconnect from the room you are in. If you say yes, you will be connected to your new networking room.
Each room has a capacity of 20 people. If you join a room that is full, the room moderator will place you in a waiting room until there is capacity to connect you

VIP Reception Sponsored by:

A moderator will be assigned to your networking room and serve as your support arm during the VIP Reception
Your moderator will be responsible for:
- Acting as behind the scenes technology support during the VIP Reception
- Logging into the Zoom room at 5:45pm
- Having their Camera off and microphone muted during the networking session unless the host requests otherwise
- Admitting the host and all guests into the networking session
- At 6:00pm, start admitting the attendees from the waiting room in the order they arrived
- Capping the room attendance to 20. As one person leaves, they will admit one from the waiting room.
- Paying attention to the time. At 6:43pm, they will send a message to “everyone” in chat indicating that the session will end in 2 minutes and join the WIT Awards program. They will also provide the livestream link to the event.

Host Preparation and Guest Engagement Ideas:

WIT has compiled a list of tips and ideas on how to engage with your attendees. We want to help you host an engaging and memorable VIP Networking Room.

Welcome and highlight the finalists as they enter your room – these are amazing ladies and gentlemen and we want to make sure they feel special through out the night.
Ground on a quote and discuss that and what it means to them.
The top question on panels these days is what are you reading.. that is an easy one and can tie into being at home.
What has changed in your work life during the last four months that you will retain.
What new skill or talent have you re birthed or perfected during the last four months (exercising, baking bread, writing, building something etc.).
Discuss a project you are most proud of and how others can leverage the learning for their companies.
Discuss how you feel about this recent fact: Due to challenges from Covid-19, as many as 2 million women are considering taking a leave of absence or leaving the workforce
Share stories about the impressive woman that you have met, worked with/for, or watched from afar in the workplace

Day of Event:

The VIP reception will be 45 minutes and run from 6PM to 6:45PM on November 12^th.

The purpose of the VIP Reception is to:
- Network
- Be Fun and engaging
- Be a Memorable interaction and align to purpose
- Allow interaction between our finalists and attendees

Your moderator will be behind the scenes and muted throughout the reception. At 6:40PM, (5 minutes before the end of the reception), the moderator will come on camera and notify all that there is 5 minutes left and will then hold another at 1 minute left. They will also include these same messaging in the chat function for the attendees.

The capacity for each room will be capped at 20 not including the host and moderator. Once capacity is reached, the moderator will be responsible for letting in one person after one person leaves.
Once the VIP Reception is over, please join the livestream link to hear 15 minutes of the free pre-show concert. Program will begin at 7:00PM.

What browser should I use for the event?

We recommend Google Chrome for the best results.

Can I watch the event on my phone?

While we do support mobile, we have designed the user interface for desktop and tablet viewing.

I don’t see a video, what is happening?

If you get to the page before the stream starts, you may need to refresh the page when you believe the live stream video should be showing.

The live stream seems glitchy, what is wrong?

First, you should refresh the browser. If there are still streaming issues after you have already refreshed the page, it is most likely your internet speed. To test your internet speed, go to https://www.speedtest.net/. It is recommended that viewers have 5 – 10mbps. How do I reset my password?

After registering with your event organizer, you should have received an email containing this reset password link: https://www.vlinkevents.com/change-password/. Follow this link, enter your email, and look in your inbox for the change password email from us, vLink Solutions. If you can’t find it at first, check your junk folder. Once you find the email with the link in it, click on the link, and you will reach a page where you can enter your new event password.

How do I navigate to a different room?

Depending on what room you are in, the navigation bar will either be on the left or right side of the screen. If you are in the event lobby, the navigation bar is on the right side of the screen. If you are in any other room the navigation bar is on the left. You will first have to click the small arrow and then navigate to the room that you would like to visit.

How do I log into the reception?
